QuickBooks Online vs. Wave: Which Free Invoicing Tool Fits Your Small Business?

If you’re a freelancer or small business owner choosing between QuickBooks Online and Wave, the decision usually comes down to one question: do you need automation and reporting depth, or just reliable, free invoicing?

Wave: free invoicing and bookkeeping, with paid add-ons

Wave’s core accounting features — invoicing, estimates, and basic bookkeeping — are free with no seat limits. Wave makes its money on optional add-ons: payroll and payment processing carry their own fees, but you can run a business on the free tier alone if you don’t need those extras.

Wave is the better fit if you’re a freelancer, consultant, or very small business that mainly needs to send professional invoices and track income and expenses without a monthly bill.

QuickBooks Online: no free tier, but more depth

QuickBooks Online has no permanent free plan — only a free trial — but its paid tiers add things Wave doesn’t offer at any price: automated bank feed matching, advanced reporting, inventory tracking, and integrations with hundreds of third-party apps. If your business is growing past basic invoicing (multiple users, inventory, or accountant-level reporting), QuickBooks’ paid tiers are built for that, where Wave’s free tier starts to feel limited.

Which should you pick?

  • Choose Wave if you mainly need free invoicing, estimates, and basic bookkeeping, and don’t need inventory tracking or advanced reports.
  • Choose QuickBooks Online if you need automated bank reconciliation, inventory, multi-user access, or deep reporting — and are willing to pay for it.

Both vendors adjust pricing and plan limits periodically, so check QuickBooks’ and Wave’s own pricing pages for the current numbers before you commit.
